Welcome to Rolandia Travel!

Rolandia Travel is a licensed tour operator and Destination Management Company headquartered in Petre Andrei street no. 4B, 2nd floor, Iași, Romania, registered in the Romanian Trade Register under no. J22/1958/2012, Fiscal Code 37582072.

These Terms and Conditions are drafted in accordance with Romanian legislation implementing Directive (EU) 2015/2302 on Package Travel and Linked Travel Arrangements.

Please read these Terms carefully, as they contain important information concerning your rights and obligations.

THE AGREEMENT BETWEEN THE CLIENT AND ROLANDIA

These Terms apply to all bookings made via www.rolandia.eu, related domains, email or telephone.

A binding agreement is formed once Rolandia issues written confirmation of the booking request.

All communication concerning Customer Relations shall be sent to the registered office address above or via the official email address published on the website.

ACCEPTANCE OF TERMS

By accessing the website or booking any service, the Client confirms that they have read, understood and agreed to these Terms and Conditions.

Rolandia reserves the right to update these Terms at any time. Continued use of the website or services constitutes acceptance of the revised Terms.

SERVICES PROVIDED

Rolandia Travel organizes:

  • Tailor-Made Tours
  • Extended multi-day tours (private or shared)
  • Day trips and city tours

All services are assembled using third-party suppliers such as accommodation providers, transport companies, guides, restaurants and activity providers.

USE OF THE WEBSITE

The website may only be used by individuals over 18 years of age who have legal capacity to enter into binding agreements.

The Client agrees not to:

  • Make speculative or fraudulent reservations;
  • Copy, distribute or commercially exploit website content;
  • Interfere with website functionality;
  • Use the website for unlawful purposes.

Rolandia reserves the right to restrict access to the website without prior notice.

RESERVATION POLICY

All reservations are subject to availability and written confirmation.

Rolandia undertakes to respond to booking requests within 48 hours.

If payment deadlines are not respected, Rolandia reserves the right to cancel the reservation.

Special Requests & Additional Services

When making a booking, the Client may request special or additional services (room upgrades, private experiences, special meals, optional excursions, etc.). These services are subject to availability and may involve additional costs.

Unless otherwise agreed in writing, additional services must be paid in the local currency directly to the Rolandia representative, tour guide, or relevant supplier at the destination.

During the travel arrangement, the Client may independently purchase optional services from third-party providers. Such services are governed exclusively by the terms and conditions of the respective provider. Rolandia assumes no liability for services booked independently by the Client.

Unless the Client expressly requests a specific accommodation category (e.g., star rating), accommodation will correspond to the official national classification standards of the destination country.

TERMS OF PAYMENT

1. Tailor-Made Tours

A deposit of 20% of the total tour price is required within 7 days of written confirmation.

The deposit is refundable up to 60 days before the tour start date. After this deadline, it becomes non-refundable.

The remaining balance (80%) must be paid no later than 30 days prior to departure.

Paying the deposit implies full acceptance of these Terms and Conditions.

Itinerary Development Policy

The first two (2) itinerary versions or revisions are provided free of charge.

From the third requested revision onward, a planning and development fee of EUR 250 applies.

This fee:

  • Covers additional research, supplier coordination and repricing;
  • Must be paid before additional revisions are issued;
  • Will be deducted from the final tour balance if the booking is confirmed.

If the tour is not confirmed, or if a confirmed tour is later cancelled (regardless of timing), the EUR 250 planning fee is non-refundable.

2. Extended Multi-Day Tours (Private or Shared)

A deposit of up to 20% is required at booking.

The remaining balance must be paid at least 15 days prior to departure.

3. Day Tours and City Tours

Full payment (100%) is required at the time of booking.

PRICE MODIFICATIONS (EU DIRECTIVE COMPLIANCE)

Rolandia may increase the package price only as a direct consequence of changes in:

  • The price of passenger transportation due to fuel or power costs;
  • Taxes or fees imposed by third parties;
  • Exchange rates relevant to the package.

Any price increase shall be notified clearly and at least 20 days before departure.

If the increase exceeds 8% of the total package price, the Client may terminate the contract without paying a termination fee and shall receive a full refund.

The Client is also entitled to a price reduction corresponding to any decrease in the above costs.

TRANSFER OF THE TRAVEL CONTRACT

The Client may transfer the travel contract to another person who satisfies all conditions applicable to the package, provided Rolandia is notified in writing no later than 7 days before departure.

The transferring Client and the transferee shall be jointly and severally liable for payment of the balance due and any additional costs arising from the transfer.

CANCELLATION POLICY

1. Day Tours and City Tours

Free cancellation up to 24 hours before the scheduled start time.

Cancellation within 24 hours or no-show: 100% cancellation fee.

2. Shared Small-Group Multi-Day Tours

Free cancellation up to 30 days before departure.

15–29 days before departure: 50% refund.

Less than 15 days before departure or no-show: no refund.

3. Tailor-Made Tours

Deposit refundable up to 60 days before tour start.

30–15 days before departure: 50% refund of total tour price.

Less than 15 days before departure or no-show: 100% cancellation fee.

SIGNIFICANT CHANGES BEFORE DEPARTURE

If Rolandia is constrained to significantly alter any of the main characteristics of the travel services, the Client shall be informed without undue delay.

The Client may:

  • Accept the proposed change; or
  • Terminate the contract without paying a termination fee.

If the Client terminates, they are entitled to a full refund of all payments made.

TERMINATION DURING TRAVEL

The Client may terminate the travel arrangement after commencement by submitting written notice to the Rolandia representative.

If the Client voluntarily terminates the arrangement or deviates from the agreed itinerary without prior written approval, no refund of unused services will be granted.

If Rolandia withdraws from the travel arrangement during execution due to circumstances attributable to Rolandia, the Client shall be entitled to a proportional refund for services not rendered.

MINIMUM PARTICIPANTS

For group tours requiring a minimum number of participants, Rolandia reserves the right to cancel up to 7 days prior to departure if the minimum is not met.

In such cases, all amounts paid will be fully refunded.

Rolandia day tours may be cancelled up to 15 hours prior to departure if operationally required. In such cases, a full refund will be issued.

ASSISTANCE IN DIFFICULTY

Rolandia shall provide appropriate assistance to the Client in difficulty without undue delay, including information on health services, consular assistance and support in arranging alternative travel.

Rolandia may charge a reasonable fee if the difficulty was caused intentionally or through the Client’s negligence.

ITINERARY CHANGES & FORCE MAJEURE

Rolandia reserves the right to modify departure times, routes, accommodation or service order due to operational reasons, supplier changes, safety considerations or unavoidable and extraordinary circumstances.

Force majeure includes natural disasters, wars, strikes, government restrictions, transport disruptions or other events beyond Rolandia’s control.

If cancellation occurs due to force majeure, Rolandia is not responsible for independently booked services.

ACCOMMODATION CHANGES

Rolandia reserves the right to replace confirmed accommodation with another of equal or higher category in cases of overbooking, force majeure or unforeseen operational circumstances.

CLIENT CONDUCT

Rolandia may terminate the travel agreement without refund if the Client:

  • Violates local laws;
  • Endangers other participants;
  • Disrupts execution of the program;
  • Engages in inappropriate behavior.

The Client is personally liable for damages caused.

LIABILITY FOR PERFORMANCE

Rolandia is responsible for the proper performance of all travel services included in the package, irrespective of whether such services are performed by Rolandia or other service providers.

Rolandia shall not be liable where lack of conformity is attributable to:

  • The Client;
  • A third party unconnected with the performance;
  • Unavoidable and extraordinary circumstances.

Compensation shall not affect rights under applicable international conventions.

INSOLVENCY PROTECTION

Rolandia Travel is covered by insolvency protection in accordance with Romanian legislation implementing Directive (EU) 2015/2302.

In the event of insolvency, payments made for packages not performed will be refunded. Where transport is included, repatriation is secured.

Details of insolvency protection provider:
Omniasig, Policy number 60279, valid until January 8th, 2027

TRAVEL DOCUMENTS

The Client is responsible for holding valid passports, visas and required travel documents.

Rolandia provides general information on passport and visa requirements prior to booking.

COMPLAINTS

Any complaint must be communicated immediately during the tour.

Written complaints must be submitted within 20 days from the return date.

LUGGAGE

Luggage allowance:

  • Tailor-made tours: up to 30 kg per person
  • Extended tours: up to 20 kg per person
  • Day tours: up to 8 kg per person

INTELLECTUAL PROPERTY

All website content and trademarks remain the property of Rolandia Travel.

The hotel photos in the Accommodation sections belong to the hotels in question and are subject to copyright. We do not assume ownership of them.

PRIVACY POLICY

Personal data is processed in accordance with applicable data protection legislation.

GOVERNING LAW

These Terms and Conditions are governed by the laws of Romania.
